Privacy Policy

This Privacy Policy explains how Karsenics PBC ("Karsenics," "we," "us," or "our") collects, uses, shares, and protects information when you visit karsenics.com (the "Site"). Please read this policy carefully. By using the Site, you agree to the practices described here.

Karsenics PBC is a Texas public benefit corporation based in Houston, Texas. We build and operate event operations software for nonprofit and civic organizations.

1. Information We Collect

1.1 Information You Provide Directly

When you fill out a contact or inquiry form on our Site, we may collect:

• Your name
• Your email address
• Your organization's name, if you give it
• The kind of event you run, if you choose one
• Any message you choose to share
• Whether you ticked the box to receive email updates
• The name of the Site page that brought you to the form, such as "pricing", if you arrived from one

That page name is held in your browser tab's session storage, not in a cookie. It is sent with your message and then cleared, and your browser discards it when you close the tab. It carries no identifier, and we do not collect your IP address, device details, or a timestamp through the form.

1.2 Information Collected Automatically

We use Google Analytics (Property ID: G-7M8FW7R45R) with analytics storage turned off. It sets no analytics cookies and stores no identifier on your device. When a page loads, Google receives basic measurement signals without cookies, which include:

• The page visited and the referring website
• Browser and device type
• Approximate region, which Google derives from your IP address

We see this only as aggregate reports. We use it to understand which pages are useful and to improve the Site. We cannot use it to identify you.

1.3 Cookies and Browser Storage

The public pages of the Site set no cookies, which is why we do not show a cookie banner. The only browser storage we use is:

• Session storage for the contact form page name described in Section 1.1, cleared when you send the form or close the tab.
• One essential sign-in cookie, set only for Karsenics staff who sign in to our internal guides area.

If we ever add analytics or advertising cookies, we will ask for your consent first and update this policy. For more on Google's data practices, visit policies.google.com.

2. How We Use Your Information

We use the information we collect to:

• Respond to your inquiries and schedule consultations or demos
• Send you updates about Karsenics, including product announcements and relevant content, where you have opted in on our contact form (see Section 3)
• Improve our Site content, layout, and performance
• Comply with legal obligations
• Protect the security and integrity of our Site

Where data protection law requires us to identify a legal basis for processing (for example, the GDPR or UK GDPR, to the extent either applies to you), we rely on the following:

• Legitimate interests: responding to your inquiry, measuring Site use in aggregate, and operating and improving our Site
• Consent: sending marketing emails (see Section 3)
• Legal obligation: complying with applicable laws

3. Marketing Communications

If you contact us through the Site, we may send you informational and promotional emails about Karsenics, including product updates, event operations resources, and company news. We will only send you marketing communications if you have opted in by ticking the "Send me occasional Karsenics updates" box on our contact form. The box starts unticked. You may withdraw that consent at any time.

We do not send unsolicited spam. We rely on CAN-SPAM Act compliance for U.S. recipients and on legitimate interest, with a clear opt-out, for outreach to contacts in other jurisdictions. Contacts protected by the GDPR or UK GDPR have additional rights described in Section 7.

4. How We Share Your Information

We do not sell your personal information. We share it only in the limited circumstances below.

We use the following third-party services to operate the Site. Each is used only as necessary to provide the service described:

We may disclose your information if required by law, court order, or government authority, or when we believe disclosure is necessary to protect our legal rights, protect your safety or the safety of others, or investigate fraud.

4.3 Business Transfers

If Karsenics is acquired, merges with another entity, or transfers its assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.

5. Data Retention

We retain contact form information for as long as necessary to respond to your inquiry and manage our business relationship. If you are added to our marketing communications list, we retain your information until you unsubscribe or request deletion. Google Analytics keeps event-level data for the retention period set in our account, and we keep only the aggregate reports after that.

You may request deletion of your personal data at any time. See Section 7 for how to exercise that right.

6. Data Security

We implement reasonable technical and organizational measures to protect your information from unauthorized access, loss, or disclosure. These include secure hosting on Vercel, encrypted email delivery, and access controls on internal tools.

No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately at privacy@karsenics.com.

7. Your Privacy Rights

7.1 All Users

Regardless of your location, you may:

• Request a copy of the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your personal data
• Opt out of marketing emails at any time

To exercise any of these rights, email privacy@karsenics.com with the subject line "Privacy Request." We will respond within 30 days. If we need more time, we will tell you and explain why.

7.2 California Residents (CCPA / CPRA)

If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), including:

• The right to know what personal information we collect, use, disclose, or sell
• The right to delete your personal information
• The right to correct inaccurate personal information
• The right to opt out of the sale or sharing of your personal information
• The right to non-discrimination for exercising your privacy rights

We do not sell personal information, and we do not share personal information with third parties for cross-context behavioral advertising.

To submit a request, contact privacy@karsenics.com with the subject line "Privacy Request." We will verify your identity before processing the request and will respond within 45 days. If we need additional time, we may extend our response by up to another 45 days and will notify you within the first 45-day period. You may use an authorized agent to submit a request on your behalf.

7.3 Texas Residents

If you are a Texas resident, the Texas Data Privacy and Security Act gives you the right to:

• confirm whether we are processing your personal data, and get a copy of it in a portable, readable format
• correct inaccurate personal data
• delete personal data you provided to us or that we obtained about you
• opt out of the sale of your personal data, targeted advertising, and certain kinds of profiling
• not be discriminated against for using any of these rights

We do not sell personal data, and we do not use it for targeted advertising or profiling.

To make a request, email privacy@karsenics.com with the subject line "Privacy Request." We will respond within 45 days. If we need more time, we may extend that once by another 45 days and will tell you why within the first 45 days.

If we decline your request, you may appeal by replying to our decision or emailing privacy@karsenics.com with the subject line "Privacy Request Appeal." We will tell you in writing what we decided, and why, within 60 days of receiving your appeal. If we deny your appeal, you may submit a complaint to the Texas Attorney General at consumerprotection.texasattorneygeneral.gov.

7.4 European and UK Residents (GDPR / UK GDPR)

The Site is directed at users in the United States, and Karsenics is a U.S.-based company. If and to the extent the GDPR or UK GDPR applies to you, you have the following rights with respect to your personal data:

• Right of access to your personal data
• Right to rectification of inaccurate data
• Right to erasure (the "right to be forgotten")
• Right to restriction of processing
• Right to data portability
• Right to object to processing based on legitimate interests
• Right to withdraw consent at any time, where processing is based on consent

To exercise these rights, email privacy@karsenics.com. You also have the right to lodge a complaint with your local supervisory authority.

Because we operate in the United States, if you provide personal data to us it will be transferred to and processed in the United States, which may have different data protection laws than your country of residence.

8. Children's Privacy

The Site is intended for adults and is not directed at, or designed to collect information from, children under the age of 13 (or under 16 for residents of the EEA or UK). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us at privacy@karsenics.com and we will delete it promptly.

9. Third-Party Links

The Site may contain links to third-party websites or resources. This Privacy Policy does not apply to those sites. We are not responsible for the privacy practices or content of third-party sites. We encourage you to review the privacy policies of any sites you visit.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top. If we make material changes, we will provide notice on the Site or by email to contacts who have opted into communications. Your continued use of the Site after any changes constitutes your acceptance of the updated policy.
